Returns & Refunds policy
My Pharmville provides pharmacy licensing examination preparation, career consulting and documentation support to internationally trained pharmacists. We want every candidate to enrol with confidence, and we want the terms of that enrolment to be clear before any money changes hands.
This Refund Policy sets out when a refund is available, how much is refundable, and how to request one. It is the responsibility of every candidate to read this policy in full before enrolling in or purchasing any paid service from My Pharmville. By completing a payment, you confirm that you have read, understood and accepted these terms.
1. Scope
This policy applies to all fee-based services purchased from My Pharmville by an individual candidate, whether purchased online, at one of our offices, or through an authorised representative. Because our services differ in how they are delivered, refund terms are grouped into four categories:
Category A — Exam preparation and coaching programmes. Structured programmes for licensing examinations including OPRA, PEBC, NAPLEX, PSI, DHA, HAAD, MOH and equivalent assessments, delivered as live, recorded or blended batches.
Category B — Career consulting and mentorship packages. Pathway advisory, one-to-one mentorship, CV and interview preparation, employer guidance and placement support.
Category C — Documentation, verification and licensing application support. DataFlow and primary source verification assistance, credential attestation coordination, regulatory authority application support, and visa documentation guidance.
Category D — Single sessions, workshops, mock examinations and study material. One-off classes, clinical case discussions, mock orals, webinars, question banks, and printed or downloadable material.
Where a package combines services from more than one category, the terms for each component apply to that component, and the fee is apportioned as set out in your invoice or enrolment confirmation.
This policy does not apply to fees paid by you directly to a third party, or to corporate, institutional or group contracts, which are governed by their own written agreement.
2. Summary of refund terms
The table below is a summary for quick reference. The detailed clauses in Sections 3 to 6 govern in the event of any inconsistency.
A. Exam Preparation & Coaching Programmes
Full refund:
Available within 15 days of enrolment.
No refund:
After 15 days from enrolment.
B. Career Consulting & Mentorship Packages
Full refund:
Available within 15 days of purchase.
Must be requested before the first consultation.
No refund:
After 15 days.
Or once the package is fully delivered.
C. Documentation, Verification & Licensing Application Support
Full refund:
Available within 15 days of purchase.
Must be requested before file work begins.
No refund:
Once the final stage has been submitted.
Third-party fees are non-refundable at any time.
D. Single Sessions, Workshops, Mock Exams & Study Material
Full refund:
Only available if the session/workshop/material is cancelled by My Pharmville.
No refund:
Once the service/material has been delivered, attended, downloaded, or accessed.
3. What is never refundable
The following amounts are non-refundable in all circumstances, and are deducted before any refund is calculated:
Registration or administration fees, where these are shown separately on your invoice.
Fees paid to third parties on your behalf — including regulatory authority and examination fees, DataFlow and primary source verification charges, attestation, translation, courier and visa fees — once those payments have been made to the third party. These are governed by the third party's own refund rules, and we will assist you in approaching them where a refund may be possible.
Payment gateway, bank and currency conversion charges incurred on the original transaction.
Study material and question bank access once downloaded, dispatched or activated.
Sessions already attended or delivered, including recorded sessions made available to you.
Discounts, scholarships and promotional concessions, which have no cash value; refunds are calculated on the amount actually paid.
4. Outcomes are not guaranteed
My Pharmville provides preparation, guidance and administrative support. We do not guarantee, and cannot guarantee, any particular outcome.
A refund is not available on the grounds of examination failure, rejection or delay by a regulatory authority, refusal or delay of a visa, an unsuccessful job application, or a change in the eligibility rules or procedures of any authority, employer or government.
Fees are charged for the service delivered, not for the result obtained.
5. How to request a refund
Refund requests must be submitted in writing to mypharmville2017@gmail.com / admin@mypharmville.com from the email address used at enrolment. Requests made through any other channel — including verbal requests, social media messages or messages to an individual staff member — cannot be processed, and the date of your written request is the date used to assess eligibility.
Your request must include:
Your full name as entered at enrolment, and your registered phone number
The name of the programme, package or service
The date of enrolment or purchase, and the payment reference or invoice number
The reason for the refund request
Any supporting documentation you wish us to consider
6. Processing and communication
We will acknowledge your request by email within three business days of receipt. Eligible refunds are processed within 15 to 20 business days from the date we confirm eligibility.
Processing times may vary with the volume of requests and the complexity of the case, and the time taken for funds to reach your account thereafter depends on your bank or payment provider.
Refunds are issued to the same payment method and, where applicable, the same account used for the original transaction. Where that is not possible — for example, a closed account or an expired card — we will agree an alternative method with you in writing.
Refunds are made to the person who made the original payment. Fees are not transferable to another individual except at our discretion and with our written confirmation.
7. Deductions and currency
The amount you receive may differ from the amount you paid. Refunds of payments made in a currency other than Indian Rupees are calculated at the exchange rate applicable on the date the refund is processed, not the rate on the date of payment.
Payment gateway, bank, intermediary and currency conversion charges are deducted, and third-party processors may apply their own deductions to the amount in transit. My Pharmville is not responsible for these charges or for any shortfall arising from exchange rate movement.
We will provide a written breakdown of every deduction applied so that the net amount is clear to you.
Where applicable taxes have been collected and already remitted, refunds are net of taxes to the extent that they cannot be recovered.
8. Transfer, deferral and credit
Where a refund is not available under this policy, we will normally be able to offer an alternative. Subject to seat availability and to written confirmation from us, you may defer your enrolment to a later batch, transfer to a different programme of equal or higher value (paying any difference in fee), or hold the amount as a credit against another My Pharmville service. A deferral or credit must be used within 12 months of the original enrolment date, may be exercised once, and does not extend or restart any refund window under this policy.
9. Exceptional circumstances
We recognise that serious and unforeseen events occur. Requests falling outside the standard refund periods — for example, a medical emergency, bereavement, or another significant personal crisis — will be considered individually on written application with supporting documentation.
Any such consideration is at our sole discretion, does not set a precedent, and may result in a deferral or credit rather than a refund.
10. Denied requests
We reserve the right to decline a refund request that does not meet the criteria set out in this policy. Where a request is declined, we will provide a written explanation of the reasons. If you believe the decision is mistaken, you may ask for it to be reviewed once by writing to mypharmville2017@gmail.com/ admin@mypharmville.com within 15 days of the decision, setting out why.
We also reserve the right to decline a refund, and to withdraw access to our services without refund, where our terms of use have been breached — including the sharing, recording, reproduction or resale of our proprietary study material or session content.
11. Payment disputes
If you have a concern about a payment, please contact us first. Raising a chargeback or payment dispute with your bank or card issuer without first submitting a refund request under this policy may delay resolution, and we reserve the right to suspend access to services while a dispute is pending.
12. Changes to this policy
We may update, revise or modify this Refund Policy at our discretion. Any change is published on this page with a revised effective date. The version of the policy in force on the date of your enrolment or purchase is the version that governs that transaction.
13. Governing law
This policy is governed by the laws of India. Any dispute arising from it is subject to the exclusive jurisdiction of the courts at Ernakulam, Kerala.
